What the registration form collects, why it is needed, and what you can ask for at any time.

Who is responsible

What the registration form collects

Your registration records:

  • the block and apartment you own, and the vivienda number derived from them
  • the date your notary deed was signed, unless you registered through a personal link
  • your email address, and whether you asked for an email alias
  • your mobile number, if you chose to give one
  • the language you want to read the platform in
  • the IP address the registration came from, and the time it arrived
  • that you accepted these documents, and which version

Why, and on what basis

The apartment, the deed date and the personal link are used to check that you are the registered owner. Your email address is used to set up your account and to reach you about the platform. Your number is used only for time-critical messages, and only if you gave one.

The basis for all of that is Article 6(1)(b) GDPR: the steps needed before and during the use of an account you asked for. The IP address and the timestamps rest on Article 6(1)(f), the legitimate interest in keeping the form from being abused.

Who can see it

Your registration is read by the person who reviews it, in order to decide it. It is not shown to other members, and it is not passed to anyone else, sold, or used for advertising.

Inside the platform you appear under a username made from your block and apartment number. You decide there which contact details other members can see, and some parts of the platform use only an anonymised form of that username.

The data is stored on a server operated by ALL-INKL.COM – Neue Medien Münnich, Germany, acting as a processor under a data processing agreement as required by Article 28 GDPR. It is not transferred outside the European Union.

How long it is kept

A registration is kept while it is being decided. Once an account exists, the registration behind it is kept for as long as you use the HUB.

A registration that was rejected is deleted automatically 90 days after the decision. The IP address recorded with a registration is deleted automatically after 30 days, since it serves only to recognise abuse of the form. A daily routine carries both out.

Beyond that you can have everything removed at any time, by deleting your account or by asking the operator to delete it.

What you can ask for

You have the right to know what is stored about you, to have it corrected, to have it erased, to have its use restricted, to object to it, and to receive it in a portable form. Writing to the address above is enough; no particular form is required.

You may also complain to a data protection supervisory authority, either where you live or where the operator is established.

Is giving this data required?

Only if you want an account. Registration is voluntary, and there is no disadvantage in not registering. But without the apartment, the proof of ownership and an email address, an account cannot be created.

No automated decisions

Nothing here is decided by a machine. The form checks that entries are plausible, but whether an account is created is decided by a person.
